Where customers come from
A customer in BudLogix is a person with a phone number who can be texted and whose orders and reviews can be tied together. Records arrive three ways, and knowing which way explains most oddities in the list.
From Dutchie, every hour
Once your organization has a Dutchie API key (Connections), a sync runs every hour. Normally it asks Dutchie only for customers changed since Last Sync. When that last sync is older than Expiration Days (default 30), or has never happened, it fetches everyone; Force Full Sync on Customer Sync Settings does the same on demand.
For each Dutchie customer the sync stores the name (first and last joined), the phone (Dutchie's phone, or the cell number when there is no phone), and the email. Other details Dutchie sends, such as address, date of birth and customer type, are kept with the record but not shown on these screens. The sync also brings the text preference the store set in Dutchie and opts the customer in or out to match, except that a customer who texted STOP stays opted out. The sync first looks for a record already tied to that Dutchie customer. Failing that, it looks for a record with the same phone or email and adopts it, which is how a hand-made or imported customer becomes a Dutchie Customer. If the phone already belongs to a different customer, the new record is saved without that phone rather than taking it away.
Dutchie also reports which customer groups a person belongs to, by name only. BudLogix matches those names to the groups it has learned from Dutchie discounts. That is how Loss Prevention knows which customers are in a staff group; see Staff purchases. Linking a specific employee to their customer record is done there, not on the customer screens.
Created by hand
Add a customer by hand, in the ... menu on Customers, makes a record from a name, email and phone. Only the phone is required.
Imported from a file
Import customers, in the same menu, reads a CSV or Excel file. Rows are matched to existing customers by phone and merged, so re-importing the same file does not create duplicates. See Import customers from a file.
Why duplicates still happen
Dutchie can hold the same person twice, a file can spell a number differently, and an email match only counts when the names are also close. Find & Merge Duplicate Customers finds these and folds them into one record.
