What is stored about a visitor

Visitor Check-In keeps a minimal record. Knowing exactly what is and is not saved answers most privacy questions from visitors and inspectors.

The visitor

A visitor is just a name. BudLogix keeps one visitor record per exact name within your organization, so "Sam Rivera" signing in three times shows as one visitor with Total Visits 3. Two different people who type the same name share a record; a name typed differently ("Sam Rivera" and "Samuel Rivera") makes two.

Each visit

Every sign-in saves:

  • the sign-in time, and later the sign-out time
  • the Purpose of Visit chosen: Delivery, Pickup, Consultation, Maintenance or Other
  • the Notes typed, if any
  • the Signature drawn, as an image, if any
  • whether the visit is still Active or Completed

What the ID scan does with the license

When a driver's license or state ID is scanned, BudLogix reads the barcode only to find the person's first, middle and last name and put it in Visitor Name. The license number, date of birth, address and expiry date are read during that step and then thrown away. They are never written to the visitor record, never shown on any screen, and never exported.

How long it is kept

There is no automatic clean-up and no delete button. Visitors and visits stay in the log for as long as your organization uses BudLogix. Exports contain names, times, purposes and notes but not signatures.
