Cash drop periods

A cash drop covers a period: a run of calendar days whose takings are in the bag. Periods are continuous. Every day from the start date onward belongs to exactly one period, so no day is counted twice and none is missed.

How a period is set

  • The first period starts on the Start Date saved in Cash Drop Settings.
  • Each later period starts the day after the previous period's last day.
  • When you record a drop, you choose only the Last Date of Cash Count Included. The Period Start is worked out for you and shown read-only.

Only a submitted or approved drop closes its period. A draft does not, and neither does a rejected drop, so the next drop's Period Start stays where it was until a real drop lands.

The rules the form enforces

  • The last date must be on or after the Start Date.
  • The last date must be after the previous closed period's end.
  • A drop's period cannot overlap another submitted or approved drop. Editing a drop's dates into an overlap is refused.
  • The Drop Date cannot be before the Start Date.

Why it matters

The expected amount is the sum of Dutchie's deposits between Period Start and the last date. If the period is wrong, the expected figure is wrong and the drop shows a variance that has nothing to do with the count. Fix the dates before recounting.

Editing a period

Someone with Reconcile cash can Edit a drop from Cash Drop History and set Period start, Last date of cash count included and Drop date explicitly. Use suggested period start fills the start from the continuous rule. For a split deposit, a date change applies to every bag in the batch.
