How a shift closing is matched to Dutchie
BudLogix keeps two records of the same event. Dutchie records a deposit each time cash leaves a register drawer. A person records a shift closing with what the drawer actually held. Reconciliation is the act of pairing each deposit with the closing that describes it, and showing the difference.
Where the deposits come from
There is no deposit table in BudLogix. Every time the Closing Reconciliation tab, a new closing on Reconciliation or Cash Drop Entry needs deposits, BudLogix asks Dutchie for them on the spot. It reads two Dutchie lists: register adjustments of type CASH DROP, DEPOSIT or CLOSEOUT, and register transactions of type Deposit or Closeout - POS. The rows are meant to match Dutchie's own Cash deposits export line for line.
Two rules shape the list:
- A register can have several deposits on one day, for example an afternoon drop and a night close-out. All of them are kept. BudLogix never keeps only the latest.
- When the same close-out appears both as an adjustment and as a register transaction, only the duplicate adjustment is removed. A genuine second deposit is never removed.
Dates are store calendar days in your organization's timezone, so a report for the 3rd shows deposits made on the 3rd local time.
How a deposit finds its closing
For each deposit row, BudLogix looks for a shift closing with:
- the same register (Register 1 and register_1 are treated as the same terminal);
- the same store calendar day (on a closing, the day of its Closed at);
- the same budtender, when the Dutchie By name can be resolved to a BudLogix user through the Dutchie employee mapping or a name match.
If a closing with the right budtender exists, it wins. If none does, BudLogix falls back to register and day only and picks the closing whose expected cash is closest to the deposit amount, then the closest in time. Each closing is paired at most once.
An exact amount is not required for a match. Dutchie often shows 816.21 where a person keyed 816.00; the point is to pair the right row and show the difference as Variance.
What the pairing feeds
- The Shift cash receipts and Variance columns on the Closing Reconciliation tab.
- Cash Expected on a new closing, which is filled from the deposits for that register and day once a register is picked, and again when the person or the day changes.
- The expected amount on Cash Drop Entry, which is the sum of the deposits in the drop's period.
