How products arrive from Dutchie

BudLogix does not have a product editor. Products are created, priced and retired in Dutchie, and BudLogix keeps a copy that it refreshes every hour.

The hourly sync

Once an hour, for every organization with a Dutchie API key, the sync does three things in order:

  1. Pulls the list of rooms and remembers which ones are inventory, quarantine or sales-floor rooms.
  2. Pulls the full product master, including products that are not on the online menu, and creates or updates a product for each Dutchie product id. Price and cost changes are written to the product's price history.
  3. Pulls the inventory feed with room quantities, and updates each product's on-hand quantity, the quantity per room, packages and lab results.

New products

A product created in Dutchie appears in BudLogix after the next sync. Until it has sold on enough days it is treated as new or learning by Stock Levels (see Product lifecycle states), and on Products it shows once it has stock or a sale in the window.

Retired and re-created products

Dutchie does not delete products; it marks them inactive. When a product is retired in Dutchie, BudLogix keeps the row, marks it inactive on the next sync and treats it as discontinued on Stock Levels. Only the product master decides this: the inventory feed has no active flag, so a retired product that still has packages on hand stays inactive.

Retiring a product does not remove its packages. While a retired product still has stock, the nightly on-hand snapshot keeps recording it, and Products lists it under the Inactive chip; once nothing is left, the snapshots stop.

If the same product is then re-created in Dutchie, it arrives as a second product with a new SKU and a new Dutchie id. Sales history stays with the row that earned it, so on Products the retired twin appears under Inactive for as long as it has sales inside the chosen date window, while the new twin starts with no history. Both are correct copies of what Dutchie holds.

What BudLogix adds on top

The sync does not write back to Dutchie. Everything BudLogix adds - replenishment stopped or paused, which rooms count as sellable, the nightly on-hand snapshot - lives only in BudLogix and survives a sync.

  • Products: every row is a synced product.
  • Stock Levels: quantities, rooms and vendors come from the same sync.
  • Settings > Connections: where the Dutchie API key and back-office URL are set.
