How deliveries auto-link to purchase orders

When a delivery arrives, BudLogix looks for the purchase order it belongs to. The link is what lets received units flow onto the order's lines and move it to Partially Received or Received.

Which orders are considered

Only orders from the same vendor that are Finalized or Partially Received and not canceled. A draft is never matched; send it or mark it sent first.

How a match is scored

Each candidate gets a score out of 100:

  • Up to 60 points for product overlap: the share of the delivery's matched products that appear on the order.
  • 20 points when the order's requested delivery date is within 3 days of the delivery date, or 10 points when within 14 days. An order with no requested date is compared on its sent date instead.
  • 20 points when it is the only open order from that vendor.

Candidates scoring under 30 are not shown at all.

Linking without a click

With Enable auto-linking on in Purchasing settings, the best candidate is linked on its own when its score is at least Minimum match score (default 80) and no other candidate ties it. Otherwise the candidates are offered on the delivery for you to choose. With the switch off, every link is your choice.

Linking by hand

From Receiving, link the delivery to the order after the manifest is received. From the order page, Link a delivery... lists unlinked deliveries from the vendor, but only once the order is Partially Received. Unlink reverses the received units; Re-reconcile recounts them.
