BudLogix for brands

BudLogix for brands is where the people at a company you buy from see how their products sell in your store, and propose spiffs, leaderboards and goals on them. It lives at /brand-portal, outside your BudLogix, with its own sign-in. You decide who gets in and what they see; they see nothing of your store until you do.

Who the company is

A company is known by its license number - the one on the Metrc transfers you have received from it. That is the METRC company on the vendor's panel on Vendors & Brands. A vendor with no METRC company yet cannot be given access: BudLogix cannot tell who works there until a transfer from them arrives.

How someone gets in

Each person has one account across every store that confirms them. They sign in with their email and a 6-digit code; there are no passwords. Someone new also gives their company's license number. Nothing is created until they enter the code, and a license no BudLogix store has received a transfer from creates nothing at all.

Your store has already vouched for a person, and they see your store as soon as they sign in, when:

  • you sent them the link with Send the link on the vendor's panel,
  • they are the person named in Agreed with on a spiff the brand pays for (see Record a brand-paid spiff), or
  • you send them purchase orders: the vendor's email, a PO contact, or an address a purchase order was emailed to. Every purchase order email says so: it ends with what you share with them and how to sign in (see Send an order to a vendor).

Anyone else who signs up for a company you have bought from in the last 6 months is shown to you as asking to see the store, and everyone with Manage vendors gets the Brand Asks to See Your Sales email (see Who gets told what). Until a store confirms them they see their own company and nothing of any store - not even which stores were asked.

Someone a store has confirmed can add colleagues with an address on the same email domain. The colleague gets the stores that person has, and each store sees them on the vendor's panel and can remove them. An email domain never lets anyone in on its own.

By email or by text

Everything from BudLogix to people at brands comes by email. Once BudLogix's own text number is approved by the carriers, a person can add a mobile number under Company, How we reach you. They confirm it with a code we text, and tick "Text me sign-in codes and notices". Then they choose Email, Text or Both.

  • Sign-in codes come by text when they chose it. "Email me the code instead" is always on the sign-in screen.
  • Notices come by text, email or both, as they chose. That covers a store confirming them, and a store approving or declining their proposal (with your note).
  • Statements and invites always come by email. Someone who chose texts also gets a short text when a statement is ready.

Texts come from BudLogix's number, never your store's. A text that does not go, or any time texts are switched off, comes by email instead. Replying STOP stops the texts and they get email; START turns them back on.

Not someone we know and Remove are final for your store: signing in again never undoes them. Only you sending the link again, or naming them on a spiff, lets them back in.

The list shows everyone who can get in, even before they sign in for the first time: an address you send orders to reads "gets your purchase orders · can sign in, hasn't yet". Remove works on them too, and the next order you send them does not let them back in.

What they see

For each store that has confirmed them, and only for the brands you have mapped to that vendor:

  • Units sold, always shown. The Sales tab charts them by day or week for the last 7, 30 or 90 days against the same number of days before, as a line, columns or a table. It can split them by product, brand or category, or show one of their brands at a time. The table lists every product with units now, before and the change, and saves as CSV.
  • Ranking, a tab of its own. Your brands in their categories: where each of their brands ranks in each category it sells in here, against every brand that sold in it, by units sold (free product and penny lines do not count). They see their rank and share now and the period before, the leader's share (the next brand's when they lead) and the middle brand's share - never another brand's name or figures. A category with fewer than 5 brands is not ranked. Only while Category rank is on; on by default. A brand losing share is offered Propose a spiff.
  • Who sells it, on the Ranking tab: the budtenders who rang their products, ranked by units, with the change on the period before. Only units of their products, never anyone's pay or other sales. A budtender who sold them before and none now is counted, not ranked, and sales rung on logins that are not a person on staff (such as online orders) are summed on their own line.
  • Budtender names - first name and last initial beside each rank. On unless you switch it off; off, they see the same ranking as Budtender 1, 2, 3.
  • Stock on hand and how many weeks it lasts. On unless you switch it off.
  • Sales dollars - what customers paid for their products. Off unless you switch it on.
  • Their spiffs at your store: running, waiting for you, declined, and ended with the statement of what they owe.
  • Winners to pay, on the Spiffs tab: each budtender they owe for a spiff, goal or leaderboard they paid for, by first name and initial, with the amount, what it was for, and how the budtender asked to be paid (Venmo, Zelle or PayPal) while it is unpaid. They pay each one themselves and press Mark paid; the budtender confirms. After 7 days unpaid your store sees it as overdue. They see no budtender's handle once it is paid.
  • Items to send, on the Spiffs tab: item prizes their budtenders won, with who and for what. They send them to your store, and you hand them out.
  • Promos, on the Spiffs tab: each promo they funded here, where it stands, what customers saved on their products, units a week against before with the grade, what each extra unit cost them, and the credit: owed, said not to be on an invoice, or credited (on which of your invoices, when you recorded one). Never another brand's figures.
  • Orders: the purchase orders you sent them, newest first. Each opens on its own page, your copy for reference: the total and how many lines, cases and units; when it was sent and how (through Apex with its order number, or emailed to whom) and by whom; the delivery date you asked for; the invoice it matched, and whether the invoice is over or under the order (never whether you paid it); and Received only once you recorded a receipt, never "not received". The lines are grouped by brand with the batch, cases and units, the price per case, unit or pound, and the line total. Save as PDF gives them the PDF you emailed; CSV the lines. Nothing on it can be confirmed or changed: the page says a change goes through Apex, or by replying to the order email. A canceled order says so at the top. A draft never shows. An order with a note to the vendor shows it as Note from (your store), and an order built by product line also shows its Order guides: each line's strains, units, THC and specials, what not to send, and your stock of those products as it is now - never why you picked them or what you pay. The order email links to its own order with no sign-in for 10 days (see Send an order to a vendor); someone on that link sees that order only, and anything else asks for the code.

Never shown, whatever is switched on: customers, other brands, your costs and margins, and any budtender's pay or other sales.

What worked

Every spiff, leaderboard, goal and promo they fund has a Results page, opened from its row on the Spiffs tab (See results so far while it runs, See results after), and from the link in its statement email. It shows:

  • The headline: once it stops, the grade and the lift in units a week against the 4 weeks before, allowing for what the category did on its own, and what each extra unit cost them. While it runs it is provisional and ungraded: "+22% so far". Too few units or days reads "Too little to judge", with the reason.
  • Units a day: the 4 weeks before, the days it ran (shaded), and the 4 weeks after; while it runs, the days still to run are drawn empty.
  • Did it stick?: units a week 2 and 4 weeks after it ended, against before - stayed up, back to before, or dipped after.
  • Their products: units while it ran against units a week before.
  • Who sold it: the top three budtenders by units of their products, by first name and initial, and the rest summed.
  • Money: what a spiff owes and has paid, each prize and where it is, or what customers saved under a promo and where the credit landed.

It is final 4 weeks after the end. Every figure is their own products at your store; they never see your margin, other brands, customers or anyone's pay. Their Home also ranks their own spiffs across stores. See What a spiff achieved.

Proposals

If Let them propose spiffs is on, a confirmed person can propose on their own products. They press Propose and pick the kind: Per unit (a spiff, with the most they'll pay, which starts at what today's pace would cost over the dates), Leaderboard (prizes for 1st, 2nd and 3rd by units of their products, with an optional minimum to win; each prize cash or an item they describe, such as "1 pre-roll, 1 vape, 1 eighth", which they send to your store when it ends), or Goal (for the team, or tiers for each budtender). Promo (when you switch on Let them propose promos) is a discount they fund on their own products: % off, $ off, a sale price, a bundle, or a gift (any number of their products from one of their categories, each at $0.01), up to Most you'll fund, with an optional spiff for the same week. See Set up a brand promo. It counts all their products unless they press Narrow it for brands and categories, or pick products instead. The line under the drawer's title says what you will see, as they fill it in, and the name is written for them until they change it. Closing the drawer keeps what they typed for the browser session, a reload included, and the footer says Unsaved changes; Discard throws it away, and sending it starts the next one fresh. It can repeat every week or every month. It waits at the top of Incentives, marked Proposed by a brand, until someone with Manage Incentives approves or declines it. Nothing is paid until it is approved. There are no counter-offers: decline it with a note, and they can propose again.

Where you see this

The BudLogix for brands section on each vendor's panel on Vendors & Brands: who is asking, who has access and how they got it, the sharing switches and Send the link. You need Manage vendors to confirm, remove, invite or change what is shared.

Preview what they see

Preview what they see, beside the list of people, opens BudLogix for brands as that vendor's people see your store: the Sales, Ranking, Spiffs and Orders tabs with your sharing switches as they are now, and nothing of any other store. It works before anyone at the vendor has signed in. It is read only: Propose and every other button that changes something is off, and a bar across the top says it is a preview. Back to Vendors & brands ends it. It lasts an hour. Change a switch and open the preview again to see the difference. You need Preview the Brand Portal, which Org Admin and Store Manager have.

What they opened here

With Preview the Brand Portal, each person on the list shows how often they opened your store: "opened your store today, 9 times in 30 days". A visit is the first page they open after half an hour away. Activity, beside Preview, opens a drawer with what they did at your store, newest first: the tabs they opened, orders they opened or downloaded, results they read, what they proposed and the winners they marked paid. Tap a person's visit count to see only theirs. Opening the same page again within 30 minutes counts once. You never see when they sign in, or anything they do at another store. Their sign-in page tells them each store sees when they open its pages. Activity is kept 13 months.

BudLogix support can also open the portal as one person who has signed in, read only and without their code, to see what they see. They see that person's other stores too, so stores never can. Every preview and every view is written to the audit log, and a support view shows in Activity as "BudLogix support viewed as …", marked with an amber dot.
