How reply facts work
Draft with AI states a policy, a rule, hours, a contact detail or whether your store offers a service only from facts a person approved. BudLogix can suggest facts; it never approves one, and a draft never takes a policy straight from an SOP or a regulation. The facts are on Review Management Settings under Facts the AI may use in replies.
Two kinds of fact
- State rules, kept by BudLogix: things every licensee in your state may say, each with its regulation citation, such as the ID check at the door, no consumption on the property and the daily purchase limit. They apply to your store by the state it is licensed in (the business address state when that is not set), and a rule written for adult use only applies to stores licensed for adult use. A rule reaches drafts only once BudLogix has verified it against the regulation; a changed rule leaves drafts until it is verified again. A draft states them as the law, with the citation in mind, not as your store's choice. You cannot edit them, but you can turn one off for your store, with a reason.
- Your store's facts: your own policies, such as the return policy, defective products, payment or parking. A draft states them as your store's policy. Only approved facts are used; a retired fact leaves drafts at once.
Where suggestions come from
Suggest facts reads two things and asks the AI for candidate facts, each with the passage it came from:
- your published SOPs, section by section. Sections whose SOP title or heading is about staff procedure (security, cameras, cash handling, the vault, receiving, inventory counts, staffing, training, asking for reviews) are never read, and neither is a section with an unfilled placeholder like "[opening time]". The note under To review says how many were left out and why;
- your own replies to Google reviews, the longest of your recent ones that a person wrote. A reply that started as an AI draft is not read, and neither are the customers' reviews.
Each candidate is then checked by BudLogix, not by the AI: it must quote a passage it was given, carry no placeholder, not be a fact already in your list (approved, waiting, rejected or retired), and not say what a state rule says. What passes waits under To review. Someone with Manage Review Settings approves it, edits it first, or rejects it with a reason.
The hint under the drafts
When BudLogix's search is on, Draft with AI also looks up the review's text in your SOPs and your state's regulations. If a passage covers something the review raises and none of your facts does, a dashed box under the drafts names it. The drafts do not use it. Suggest it as a fact sends it to To review; it needs Reply to Public Reviews, the same as Draft with AI, and approving it still needs Manage Review Settings. With the search off or unavailable there is no box and the drafts are unchanged.
