The review panel
Clicking a row on Reviews opens it in a panel on the right: the sale behind it, everything that happened in time order, and one box to reply. The address changes to name the row, so a link to it opens the same panel. Close it with the cross or Escape; the list stays where it was.
The header
Where it came from, as the row's Source says it (including Sent to Google or Google not opened for a rating that went to Google), and how long ago, View on Google on a Google review (it opens your listing's reviews on Google, not the one review: Google gives no link to a single review), the name - on a Google review the name its author posted under, even when the review is matched to a customer (that customer is under Customer below); otherwise the customer's name - the stars and the same reply pill as the row.
The sale behind it
For a review from a sale: When (as Dutchie recorded it, in store time), Budtender (View Employees only), Total with the item count, Customer with their number of visits, and for a Google review Matched: how the match was made - "They tapped our Google link just before posting", "By name and time" with how sure, or "Linked by hand". A Google review nobody was matched to says "No sale matched."
Not this customer, under a matched Google review, takes the match off after you confirm; the confirmation names the matched customer. The review and its reply stay, and BudLogix never matches that review to anyone by itself again. See How a Google review is matched.
For a customer's text the block is The customer: their name with visits, and Last sale with its date and budtender.
The thread
Everything on record, oldest first, each line with its time:
- the ask by text as it was sent and whether it was delivered, or "Asked by email", or "Scanned the QR code at the register";
- "Opened the review page" and "Went to Google" when the customer did;
- every text the customer sent, with what the AI read it as when it read it ("read as a question");
- the rating, when it came from the page or an email star rather than a text;
- the private comment with the categories ticked, whether they asked to be contacted and how, and any compliance flags on it;
- "Low rating: needs a reply" or "Asked to be contacted: needs a reply" when a follow-up opened;
- the Google review itself, and each reply: saved as a draft, published, refused by Google, or deleted;
- every text or email the store sent back, with who sent it, or when a waiting text will go, or why it did not go;
- "Marked resolved".
Staff names in the thread are shown only to someone with View Employees.
The reply box
Shown with Manage Reviews.
- On a Google review: Reply on Google. With AI drafting on and Reply to Public Reviews, Draft with AI shows three grey placeholders while it writes, then three drafts under the box, each a different approach named on its card; click one to put it in the box and edit it. Under them, a dashed box may say an SOP or a regulation may cover something the review raises that no approved fact covers, with Suggest it as a fact, which sends it to Review Management Settings for a manager to approve; the drafts do not use it. How they are written is in Reply to a review. Then Save draft or Publish reply. Publishing is always a click; nothing posts by itself. A saved draft comes back into the box when the panel opens, and saving again changes that draft. Once a reply is on Google, the ... beside the heading offers Change the reply (its words come back into the box to publish again) and Delete (removes it from Google after you confirm).
- On a private review or a text: Reply to the customer's first name, and Text or Email. Text is offered when the customer agreed to texts, their number takes texts, texting is on and, where Leafbuyer carries your texts, your campaign is approved. Email is offered when there is an address - the one they typed on the private form asking to be contacted by email, else the one on their record - and they have not unsubscribed from review emails. A channel that cannot be used is greyed out, with the reason under the box. When neither can be used the box says so and there is no Send.
A text goes at once while the store is open. Outside store hours it waits for the next opening, and the row says Queued for that time. Before it goes, the customer's consent is read again. A text with a word carriers block is refused with the words named, so you can reword it.
The footer
Assigned to and a menu of everyone who can see reviews, Assign to me, and Mark resolved (or Open again). Giving a row to someone else sends them the Review Follow-up Assigned email.
An ask from the Asked chip
A row under Asked opens a panel of its own. Its header says how the ask went (Text, Email or QR code) and when, the customer, and the same state pill as the row. If the customer answers while it is open, the pill reads Answered and the ask has left Asked.
- Their review page - the customer's own review page link, on the short review address when your store has one, with Copy link, which copies it and says so. It is for you to send yourself if they ask for it again; nothing is sent from here. The line under it says until when the link works. Shown with Manage Reviews, and not once the link has expired, nor for a QR scan, which has nobody on record to send it to.
- The sale it came from - When, Budtender (View Employees only), Total and Customer, as for a review.
- The ask - oldest first: "Ask made after the sale" (or "Scanned the QR code at the register"), "Asked by text" or "Asked by email" (with why it was not a text, when it could have been), "Text delivered" or "Text not delivered", "Nudged by text" and whether the nudge was delivered, "Opened the review page", and "The link expired".
An ask has no reply box, no Assigned to and no Mark resolved, and there is no resend. To ask again, send a new request; see Send or resend a review request.
