Applicant rights and deletion requests

An applicant has their own page, reached from the link they were emailed, and three things they can do on it. Each is narrower than it first looks.

See where it stands

The page says whether a decision has been made and, once it has, what it was. It does not show hiring stages.

Withdraw

Withdrawing is a real decision recorded the same way as every other: the application closes as Withdrew, and the retention clock starts the same way it would for a rejection.

Ask for deletion

A deletion request is recorded, not obeyed. Some of what is held is kept under rules the applicant does not set: the log of who saw their CORI is kept for years whatever anybody asks. So the request waits on the CORI page under Compliance, beside retention, and a manager answers it with a statement of what is actually held and what will happen to each item. The answer is kept beside the request and shown to the applicant.

What is destroyed, and when

  • A non-hire's CORI report, CORI Acknowledgment Form and ID photographs are destroyed once a decision is recorded, under the CORI retention ceiling.
  • The application itself (name, contact, resume, decision) is kept for the number of years in Keep decided applications for. Until that is set, nothing is destroyed. The purge that reads it is run by an administrator, not on a schedule.
  • The secondary dissemination log is kept.

Answering never destroys anything itself; that would leave two accounts of what happened to the same record.
