How resumes become applicants

Resumes reach the hiring board through a queue with one human gate. Nothing that arrives by email becomes a person or an application until somebody reviews it.

Arrival

The resume mailbox, connected under Settings > Connections, is a Google inbox applicants already send resumes to. It is swept every 10 minutes, and each mailbox has its own check interval (15 minutes by default). The first sweep imports everything already sitting in the inbox from the Reading from date. Collection can be paused and restarted from the same card.

Sorting

Each message is judged before anything is downloaded. Agency solicitations, job-board digests and newsletters are skipped by their envelope. Image-only attachments are skipped too, because a photographed resume is not a real thing and accepting images would pull in every signature block and logo. Only what survives is downloaded and read.

Parsing

Each surviving resume is parsed as it lands into the fields a reviewer needs: name, phone, current role, employer, work history, systems mentioned. The applicant's email is taken from the message, never from the document, because resumes carry other people's addresses. An hourly pass re-parses anything still without a name, so a lost job never strands a submission. The parser recognises; it does not judge.

Review

The submission waits at the head of the board's Unassigned column, and the whole backlog is on the resume queue. A reviewer opens it in Resume review, corrects what was read, picks an opening if one is open, and adds them to hiring. That creates the person and the application. Several can be decided at once from the queue.

Repeat submissions from the same address are held as copies of the first and settled with it. Someone who wrote from two addresses arrives twice; Same person… on the queue keeps one and files the rest as its copies. A new applicant is never attached to an existing person by the email they typed: every application gets its own person, so one applicant can't reach somebody else's record.

Screening

Once attached to an opening, the resume is read against that opening's criteria in the background. The result is evidence, shown on the applicant page as quotes from the resume against each criterion, never a score, and nothing is auto-rejected. Separately, and whether or not an opening is attached, the jobs and dates the parser took from the resume are checked against each other, and anything that does not agree appears on the applicant page under Worth a question.
