Onboarding: from offer to cleared to work

Onboarding in BudLogix runs from the moment you move someone to Offer until their employee record says "Everything the Commission expects is on file". It is one person's story told across two pages: the applicant page before the hire, and the employee record after it.

Before the hire: the packet

The onboarding packet is the emailed link through which the applicant fills in their own details: identity and contact (with an optional LinkedIn and portfolio link), the I-9 questions, the W-4 questions, the CORI acknowledgment fields, photographs of their government ID, and an optional References step where they can name up to three people who can speak to their work, with where they worked together - it never holds the packet back, and what they give appears on the applicant page marked as from them, ready to ask by email (see Check references). The link lasts seven days. On the applicant page the header line under the name reads where the packet has got to - sent, complete, or returned for correction.

The packet is a badge, not a stage. A missing photo is not a step backwards in whether you want somebody, so it sits beside the hiring stages rather than among them.

Hire needs the packet to be complete. It creates the login, the employee number and the employment with the start date you enter, and closes the application as Hired.

After the hire: cleared to work

The employee record's Cleared to work list, in its rail, has four document lines and reads each from what is held, never from a box someone ticked:

  • I-9 and W-4 - answered in the packet. They cannot be uploaded; if they are outstanding, the packet was not completed. After the hire, the I-9 card and the Clearance lane follow I-9 Section 2, due three business days after the first day; see Employee record.
  • CORI - the report, uploaded as a document. Required before an agent registration.
  • RVT certificate - Responsible Vendor Training, uploaded as a document.

While anything is outstanding its line is marked, with what is missing. The roster shows the same fact as a red or green dot, and its cards count the shortfalls as No CORI on file and No RVT certificate.

Beyond clearance: the personnel record

Clearance is the minimum. The Personnel record on the same page tracks the seven items the regulation names, including references, a job description, training and evaluations. See The personnel record.

What onboarding does not do

BudLogix does not register anyone in Metrc, create a Dutchie login, or submit anything to the state portal. Those happen outside the app, and the record only reflects what you upload. See What BudLogix can and cannot do in Metrc and Dutchie for people.
